The communications team needed a new platform to replace the Microsoft Sharepoint site they had been using since 2014. Their intranet had become cluttered with old documents and incorrect information, made worse by an unsightly design and difficult content management system.
They needed something efficient, reliable, and flexible, which would meet their internal communications challenges and support the leadership team during the rapidly changing environment for clinical commissioning in London. The site also needed to cater to two distinct audiences: office-based backend staff; and clinical support teams based in GP surgeries in Lambeth.
At the beginning of the project, we agreed a schedule of production milestones, face-to-face reviews and board-level presentations. This ensured we had client input from the outset, allowing them to steer the design, functionality, and content migration from their old site.
We built a fresh and intuitive website which was password-protected and mobile-friendly. We worked closely with their teams to review existing content and only migrate what was necessary, accurate, and helpful. We also developed integration solutions with MailChimp to create automated newsletters using content published on the site, and with Microsoft Access to publish their extensive calendar of meetings and events.
To help individual teams take ownership of their content, we held several training sessions were help staff use the new system and produced how-to guides and provided ongoing technical support once the site was published.
On schedule and on budget, the communications team launched the new intranet to their workforce in September 2017. Staff responded positively to the look and feel, and were keen to suggest improvements to document architecture and where new content could be added.
